Delete outdated notes in the customer summary

You can now delete notes directly from the customer summary in Chargebee Receivables. Previously, there was no option to remove notes, making it difficult to manage or correct outdated information. This update was introduced to give you better control over your customer records.

Why is this important?

Having the ability to delete notes ensures that your customer records stay relevant and clutter-free, and improve overall account management.

How can you use it?

Go to Receivables (left navigation) > Summary tab and click on a customer name. Under the Notes section, delete a note by clicking the newly added Delete button in the customer summary. This option is now available for all users managing customer records.

Prefill Field Values (v1.65)

Introducing Prefill Field Values that allow you to pass custom information from Salesforce fields directly into Chargebee. Currently, this feature supports populating the Chargebee Quote Notes Field with data from a custom field in Salesforce, such as terms and conditions stored on a Salesforce Opportunity.

Why is this important?

The new Prefill Field Values feature enables you to pass custom information from Salesforce directly into Chargebee. For instance, you can now transfer terms and conditions from a Salesforce Opportunity into the Chargebee Quoting workflow, ensuring consistent and accurate data in your quotes.

How can you use it?

Create a field in Salesforce (e.g., on Opportunity), populate it with the required data, and configure the setting to transfer that data into the Chargebee Quote Notes field. Currently, this feature supports this use case exclusively, giving you a precise way to include essential information in your quotes.

Improved email tracking with the 'Last Reply Date' field

Chargebee Receivables now includes a Last Reply Date field, displaying the date of the most recent email reply from a customer. This field is available in both the column chooser and advanced filter, making it easier to track email engagement.

Why is this important?

With this update, you can quickly identify the latest customer interactions, improving follow-ups and response management. The filtering criteria align with other date-based fields for consistency.

How can you use it?

Go to Receivables > Filter > Column Chooser and select Last Reply Date as a column or use it as a filter under Email Engagement in advanced filters.

Chargebee Receivables now allows longer entries in notes under customer summaries. Previously, the character limit was restricted to 24, limiting the amount of information you could store. With an increased character limit, you can provide clearer, more detailed notes and summaries, improving record-keeping and communication within your team.

How can you use it?

Enter your notes as usual, using the expanded space to add more relevant information. This update is automatically available to all users.

Set limits on P2P request extensions

Chargebee Receivables now allows you to limit the length of a P2P (Promise to Pay) request. A new field in the collector queue settings lets you define the maximum number of days for extensions, ensuring better control over payment commitments.

Why is this important?

This update provides more flexibility in managing P2P requests while maintaining clear boundaries on extensions.

How can you use it?

Go to the collector queue settings and enter the desired number of days for P2P extensions in the P2P Window field. Any extension requests will be restricted to this limit.

Email placeholders now available in multiple languages

Chargebee Receivables now supports translations for email placeholders, ensuring that merge fields such as Pay Now, Update Payment, and Client Portal are available in all supported languages.

Why is this important?

This update enhances communication by displaying key placeholders in the recipient's preferred language, improving clarity and customer experience.

How can you use it?

Email placeholders will automatically appear in the selected language based on your Receivables language settings. No additional setup is required.

Customized gateway names now appear in Xero for Reconciliation

Xero now displays customized Stripe account names in payment gateway statements for easier reconciliation.

Why is this important?

Previously, the dropdown showed only the default name for multiple Stripe accounts (e.g., USD, CAD), making reconciliation difficult and error-prone.

How can you use it?

Go to Apps > Xero > Reconcile your Stripe payments, then click Proceed to generate a gateway statement and view customized gateway names for easy account identification.

Improved tax handling for voided invoices with credit notes

When you void an invoice with a credit note, Chargebee typically syncs both the void action and the credit note with your tax provider. However, tax providers like Taxamo and Vertex did not support the commit function, leading to issues in tax filings. This update introduces a more accurate way to handle voided invoices for these tax providers.

Why is this important?

Previously, voiding an invoice with a credit note caused inconsistencies for Taxamo and Vertex users, as Chargebee attempted to void invoices even when the tax provider did not support it. This could complicate tax filings and refunds. With this enhancement, Chargebee now ensures tax compliance by syncing only the credit note while avoiding unnecessary void calls.

How can you use it?

If you are using Taxamo or Vertex as your tax provider this enhancement is already enabled.

Advanced subscription and customer filtering (v1.65)

We have introduced subscription filtering and ravamped the existing customer filtering to give you more control over what data syncs from Chargebee to Salesforce. Now, you can refine your data sync by filtering based on Subscription Status, Plan Price Point, and Custom Fields using up to four filters with logical operators.

Why is this important?

This update empowers you to sync only the records that matter, ensuring your Salesforce instance remains clean and focused. With the new subscription filtering, you can exclude specific subscriptions—such as trials or cancellations—while still syncing the associated customer records, helping you maintain better organization and data relevance.

How can you use it?

Existing filter setups will be automatically migrated, so you can build on them without starting from scratch. Additionally, use subscription filtering to exclude certain subscriptions from syncing without affecting customer records, ensuring your Salesforce system only reflects the data you need.

Automate Auto Collection settings for opportunities (v1.65)

Auto Collection can now be configured through automation on the Opportunity object. This will apply to subscriptions created or updated from the Opportunity, giving you more control over your billing process.

Why is this important?

This ensures that Auto Collection preferences are automatically applied to subscriptions created or updated from an Opportunity, reducing manual effort and ensuring accuracy in billing operations.

How can you use it?

Set up automation rules for the Opportunity object to define Auto Collection preferences. Once configured, these rules will be applied to new or updated subscriptions originating from the Opportunity, aligning your collection settings effortlessly with your sales process.

When you update Net D terms for a customer in Salesforce, you can now sync the changes directly to Chargebee by selecting the Update Chargebee checkbox. This ensures your records remain accurate and aligned across systems.

Maintaining consistency between Salesforce and Chargebee is crucial for accurate billing and financial management.

How can you use it?

Navigate to Net D terms of a customer in Salesforce > select the Update Chargebee checkbox. The changes will sync automatically, ensuring both systems reflect the latest terms.

We've introduced an automatic sorting mechanism in the Self-Serve Portal that arranges all available plans by their average per-day price in ascending order.

Why is this important?

This update helps your customers quickly identify the most cost-effective plan without searching through an unsorted list, letting them make faster and more confident subscription decisions.

How can you use it?

No extra steps are needed. Simply direct your customers to the Self-Serve Portal, and they'll see the plans sorted by price.

Chargebee has fixed an issue where the direct_debit_scheme attribute was missing from the payment source API response in certain cases. Previously, this attribute was only returned when mandates were present, causing inconsistencies in direct debit-related payment methods. With this update, the direct_debit_scheme will now be included in all relevant API responses, ensuring accurate and reliable data retrieval.
